How To Find A Bookkeeper That’s Right For Your Business

Sep 13, 2021

Hiring a bookkeeper can be a real game-changer for your business.

Not only will they save you precious hours every week, but the peace and mind of having your finances organised and streamlined will save you a pile of stress, too.

However, although the decision to outsource your bookkeeping is simple, finding the right person may seem daunting. You want to find a bookkeeper that you can trust to do an exceptional job for your unique business.

If you’re not sure how to find the right bookkeeper, read on! We’ll cover the most important things to consider in your search.

Let’s go.

How To Find A Bookkeeper That’s Right For Your Business

Things To Consider When You Want To Find A Bookkeeper

When you are trying to find the bookkeeper who is perfect for your business, here are some of the things you should look for:

Industry expertise

Different industries may require varied bookkeeping practices. While a great bookkeeper should be capable of adapting to your business, it can be helpful to work with someone with relevant experience. They may have deeper insights into your industry that can add value to your financial management and planning.

Scope of work

Different bookkeepers offer different services. Before you start searching for the right person, make a list of your bookkeeping requirements to ensure they are offered.

Do you simply need someone to help manage your daily records? Or would you prefer to find a bookkeeper that can streamline your processes and provide financial insight?

The right bookkeeper should be able to handle the following tasks:

  • Reconcile bank transactions
  • Manage invoicing and bill payment
  • Correctly code transactions
  • Manage and prepare tax information
  • Generate and interpret financial reports
  • Create a budget
  • Handle payroll

Location

These days, a bookkeeper doesn’t need to be physically present to manage your finances effectively. Cloud accounting software, team communication platforms, and Zoom videos mean you can communicate well regardless of where your bookkeeper is based.

This is good news, as it means you have a wide pool of candidates to choose from. Having said that, it makes sense to find a New Zealand based bookkeeper so that they are familiar with local tax laws and GST requirements.

Qualifications and certifications

In New Zealand, anyone can call themselves a bookkeeper, regardless of their experience or training. However, there are training qualifications and professional organisations that can verify someone’s expertise.

Check your candidate’s qualifications, and ask if they are a member of the ICNZB (Institute of Certified NZ Bookkeepers), New Zealand’s professional bookkeeping association.

Software and tools

If you’re already using accounting software in your business, check that your potential bookkeeper is experienced in using the same platform.

Also, specify who will own the subscription to that software. We recommend that all of our clients hold their own licenses to their accounting software. This means you are in control of one of your most vital business assets.

Continuity planning

If you’re considering hiring a sole-trader bookkeeper, ask them what the backup plan is if they fall ill or take time off. You can’t just put your financial management on hold, so you need to ensure there’s a plan in place.

Consider the same question even if you’re working with a bookkeeping business with multiple employees. What internal procedures do they have to ensure the quality of work continues even if someone else takes over the job?

Communication style

Your bookkeeper will be responsible for processing the day-to-day transactions of your business, which means you’re likely to be communicating often, particularly at the beginning of the working relationship.

Make sure you find someone you’re comfortable communicating with. Ask them if they prefer to communicate with clients via phone or email, and make sure this fits well with your needs.

Pricing Structure

Get clear on the pricing structure for their services. Do they offer a fixed monthly fee or charge by the hour? If it’s a fixed rate, clarify what’s included. If it’s an hourly fee, you’ll need to get an estimate of how many hours a month you can expect to pay for.

Reviews and recommendations

Personal recommendations can be helpful in your search for a bookkeeper. Ask friends and family or local businesses if they have suggestions. Your accountant may also be able to offer a recommendation.

Online reviews are another valuable resource. Check your potential bookkeeper’s website or social networks before jumping in.
